Configure Individual User Access
Configure what an individual user can see, edit, and access in ONE RACEHUB.
Use individual user access settings when a user should only work with selected contestants, cars, entries, or performance data.
Common use cases include:
- Assigning a mechanic or engineer to specific cars
- Restricting freelancers or contractors to selected data
- Preventing users from editing the wrong contestant record
- Hiding KPI information from users who should not access performance data
- Managing access in multi-team environments
ⓘ Individual user access settings are configured from Admin. The available options depend on your role and permissions.
Open individual user settings
- Go to Configuration → Admin → Users / Drivers
- Select the edit icon for the user you want to configure
Control editing permissions by contestant
Use Editable Contestant IDs to control which contestants, cars, or entries the user can modify.
A user may be able to see more data than they can edit. Use this setting to prevent accidental changes to the wrong car or contestant record.
Use this when you want to:
- Allow a user to view several cars but edit only one
- Keep freelancers restricted to their assigned vehicle
- Prevent data entry in the wrong contestant record
Example: A freelance engineer can view multiple cars but edit only Car #45.
- Select the Editable Contestant IDs dropdown to open the contestant list
- Select the + icon next to an event or series to expand it
- Select the checkbox next to each contestant the user should be able to edit
- Select Save
Control contestant visibility
Use Visible Contestant IDs to control which contestants, cars, or entries the user can see. This prevents access to irrelevant car or team data.
Use this when you want to:
- Show only the cars assigned to a user
- Hide other garage or team data
- Restrict a freelancer to one car
Example: Give a mechanic visibility for Car #23 only.
- Select the Visible Contestant IDs dropdown and repeat steps 2 and 4 above for each contestant the user should be able to see, then click Save.
How visible and editable contestants work together
Visible Contestant IDs and Editable Contestant IDs are saved separately. Selecting a contestant in Editable Contestant IDs does not add it to Visible Contestant IDs.
An empty list means that the corresponding restriction is not applied. A list with at least one selected contestant limits access.

Result: Both users work in the same ONE RACEHUB instance, but only access the data assigned to their team.
Restrict KPI access
Select the Hide KPIs checkbox to prevent a user from accessing the KPI Dashboard, even if their role would otherwise allow KPI access.
Use this to:
- Protect sensitive car performance data
- Restrict KPI access for external personnel
- Limit access for freelancers or contractors
- Prevent users from seeing complete performance data
ⓘ KPI access also depends on the user’s role. For role-based access details, see Roles and Permissions.
Deactivate a user
Use the Active User checkbox when someone should no longer access ONE RACEHUB, but their historical data should remain available.
- Open the user record
- Clear the Active User checkbox
- Select Save
To reactivate the user, select the Active User checkbox again and select Save.
ⓘ Deactivation keeps the user's historical data. For permanent removal, see Manage Users and Drivers.
⚠️ The user can no longer sign in after deactivation. A user who is already signed in keeps access until they sign out or their login expires.
Best practices
- Use Visible Contestant IDs when access should follow a car across events.
- Use Editable Contestant IDs to prevent changes to the wrong car.
- Use Hide KPIs for external users who should not see sensitive performance data.
- Regularly audit user roles and active status, especially at the start and end of each season.
