Create and Manage Word Replacements
Word replacements auto-replace one word or phrase with another in new transcriptions across your organization.
Use word replacements when speech-to-text consistently mishears the same term, such as a driver name, team name, or technical term.
- Go to Settings
- Select Word Replacements
- Click Add Row
- In Word, enter the word or phrase to find
- In Replacement, enter the replacement text. See example below:

- Click Save Changes

You can add multiple rows before saving.
ⓘ Word replacements are applied to all new live and past transcriptions across your organization.
Tip: To apply a new rule to an existing message, retranscribe the message.
Limitations

Limitation |
What It Means |

Whole-word matching |
Only exact words or full phrases are matched. Partial matches inside longer words are ignored (for example, box will not match in boxcar). |

Case-insensitive matching |
For example, safety car, Safety Car, and SAFETY CAR are treated as the same word. |
|
Unique words |
Each word can only be used once in your organization. You cannot create duplicate rules for the same word. |
⚠︎ If you see Duplicate word(s) when saving, another rule already uses the same Word value.
Recommended Practices
- Create rules for recurring transcription errors.
- Use specific words and phrases to avoid unintended replacements.
- Test new rules before relying on them during live sessions.
- Maintain a shared list of driver names, team names, and technical terms to keep terminology consistent.
