Manage Users and Drivers

Learn how to add, edit, and manage user and driver accounts in ONE RACEHUB.

ⓘ Only users with the required administrative permissions can manage user accounts. 

  • ADMIN and MANAGEMENT roles can create, edit, and delete users
  • ADMIN role exclusively can assign teams and configure advanced multi-tenancy settings.

Open Users / Drivers

1. Go to Configuration → Admin → Users / Drivers from the sidebar

The Users / Drivers list displays your existing accounts. Use the available filters to find users by role or active status.

From this page, you can:

    • Add a new person
    • Edit an existing user
    • Deactivate a user
    • Delete a user

Add a user or driver

  1. Select Add new person on the Users / Drivers page
  2. Eter the required details
  3. Select Save

User fields

Field

Description

Name

Full name of the person or group, e.g., “Mechanic Team 1”

Role

Select the role that matches the person’s job. See the Roles and Permissions article for detailed role descriptions.

Username

The unique username used to sign in.

E-Mail

The email address used to send the welcome email and initial password.

Acronym

Shown when the role is Driver. Use a short driver code, such as a three-letter acronym.

RunSheet Style

Sets the default Run Sheet layout for this user. Admin only.

Team

Assigns the user to a team when multiple teams share the same server. Admin only.

ONE RACEHUB sends login credentials by email.

ⓘ If a Driver only needs to be assigned in Run Sheets and does not need to sign in, you can create the Driver without an email address.

Edit a user

Select the user you want to edit, update the required information, and select Save.

Depending on your permissions, you can also manage advanced user configuration. For information about how these settings affect access, see Roles and Permissions.

Deactivate a user

⚠️Use deactivation when someone should no longer access ONE RACEHUB, but their historical data should remain available.

  1. Open the person’s user record.
  2. Clear Active User.
  3. Select Save.

The user can no longer sign in to ONE RACEHUB.

⚠️ Prefer deactivating users instead of deleting them when their name is linked to historical Run Sheets, Setup Sheets, jobs, or other records.

Delete a user

Deleting a user permanently removes the account.

⚠️Deleting a user cannot be undone. If you need to preserve historical data associations, deactivate the user instead.

A user cannot be deleted while they are still assigned as a Time Tracker approver for other users.

Reset a user's password

An Admin can select Reset Password to generate a new password.

  1. Open the person’s user record.
  2. Select Reset Password.
  3. Copy the generated password from the dialog.
  4. Share it securely with the user if needed.

If an email address is registered for the user, the new password is also sent to them by email.

💡 Ask the user to change the generated password after signing in.

Recommended workflow for adding users

    • Create the person with the correct role.
    • Add an email address if login access is required.
    • Set Driver-specific fields if the role is Driver.
    • Assign a team if your ONE RACEHUB instance is used by multiple teams.
    • Configure access restrictions if the user should only see specific events or cars.
    • Ask the user to sign in and update their profile.
